From paper to software: a practical guide to digitising a dental clinic
Setup takes about 20 minutes, but the common mistake is wanting everything at once. Start with appointments, use only that for two weeks, then add the rest. Don't migrate old records either — just the patients who walk in from today.
Week one: appointments only
Don't throw away the paper appointment book, but enter every booking in the system too. Run both for a week. This gives reception confidence, and if something goes wrong the book is still there.

This is where most clinics get stuck. Entering two thousand paper files takes weeks and usually gets abandoned halfway.
Better: only register patients who walk in from today. Any returning patient gets a file created on the day they return. After three months your most active patients are all in the system, and the rest were never needed.
Getting staff to actually use it
- Give each person their own account. A shared login means reports can't tell you who did what.
- In the first week, spend five minutes a day reviewing what was entered. Staff enter more carefully when they know someone looks.
- Never enter a mobile number partially or from memory. Reminders and the patient's login code all go to that number.
